ACCOUNTS ADMINISTRATOR
 
Hierarchy within company - Junior Level
 
Primary purpose of the job:
To ensure that all tenant accounts are attended to by escalating arrangements to the Team Leader- Rentals, and ensuring and supporting collection steps against defaulting tenants are enacted by the On-Site Rental Agents while operating with honesty, integrity, excellence and passion.
 
Job specifications & requirements:
  • Grade 12 (Standard 10) with Accounting as subject
  • Computer Literacy
  • One year’s related work experience
  • Sectional title exposure/ experience would be beneficial

Key Performance Areas:
  • Payments and penalties
o    Allocate funds on Host to Host System
o    Charge late payment penalties where applicable
o    Liaise with DMS
o    Liaise with owners
o    Instruct On-Site Rental Agents to reconnect electricity upon receiving payment in this regard
o    List arrear tenants with ITC following 20 day waiting period
  • Suspense account
o    Maintain suspense account on a daily basis
  • Statements
o    Utilise deposits where rent is short paid
o    Charge rent on system
o    Generate statement of account
o    Generate and send all system reminders to tenants
  • Rental Support
o    Allocate payments to the correct account as provided by the owner/ landlord
o    Note all interaction with owners and tenants on rental management system
o    Documentation
  • Monitoring of arrears accounts
o    Daily monitoring of arrears accounts on system
o    Contact tenants when arrears reach R500-00
  • Arrears procedure
o    Follow up with On-Site Rental Agents on instruction to cut electricity
o    Follow up on payment of at least 50% of arrears by 10th of the month
o    Escalate arrangements to the Team Leader- Rentals
o    Follow up on Acknowledgement of Debt forms with On-Site Rental Agents, where such arrangements have been approved by the Team Leader- Rentals
o    Follow up on the printing and issuing of Eviction Notices on arrear accounts
o    Auditing of Registers for electricity, Breach Letters and Eviction Notices.
o    (Issue water pressure reduction instruction to Plumbing Contractor)
o    Ensure On-Site Rental Agents enforce lock-outs after receiving instruction from TWC Rental Team Leader, or Team Leader- Rentals
o    Obtain instruction from owners/ landlords to commence further legal action
o    Update owners on a weekly basis re arrears progress
  • Queries
o    Attend to all account related queries from owners and tenants
