Position Available: Portfolio Coordinator (Junior Portfolio Specialist)

We are looking for a motivated and detail-oriented Portfolio Coordinator to support a Senior Portfolio Manager in the management of a diverse portfolio of Sectional Title schemes. This is an excellent opportunity for someone looking to grow their career in Property Management while gaining hands-on experience within a professional and fast-paced environment.

You will play a key role in ensuring the smooth operation of the portfolio while developing a strong understanding of Sectional Title legislation and best practices. The ideal candidate is organised, eager to learn, and has strong communication skills, with a proactive attitude and the ability to manage multiple tasks effectively.

Location: Hybrid working conditions
Office Days: First Floor, Wrigley Field, The Campus, Corner of Main & Sloane Street, Bryanston
Remote Work on Non-Office Days (Must have reliable backup electricity & internet)
Salary: R25,000 – R30,000

PURPOSE OF THE POSITION

The Portfolio Coordinator is responsible for assisting and supporting the designated Portfolio Specialist to ensure the effective running of the portfolio.

SCOPE

The Portfolio Coordinator reports to the Operational Manager and works closely with his/her assigned Portfolios Specialist.

RESPONSIBITIES

SCHEME MEETINGS               

  • Schedule and/ or attend meetings as per Portfolios Specialist (PS) request
  • Taking minutes as per PS request
  • Actioning items from meetings as per instructions/ request
  • Preparing for AGM/ SGM: budget, special project quotes, quorum info, insurance schedules etc
  • Actioning Post AGM checklist
  • Updating information/ maintaining system with any changes eg election of new Trustees, levy increase etc

MONTHLY LEVY RUN

  • Providing info to Financial Controller team for monthly levy run
  • Check monthly levy run under PS guidance
  • Confirming statement run occurred for each Scheme in portfolio

MONTHLY REPORT  

  • Providing info to FC Team for monthly report run under PS guidance
  • Checking reports under PS’ guidance
  • Confirming monthly reports have been generated for all Schemes in portfolio

LIAISON

  • Building and maintaining relationships with Scheme Executives
  • Building and maintaining service provider relationships
  • Building and maintaining relationships with relevant councils and utility management providers
  • Owner and Scheme Executive communication
  • Feedback and communication with Caretakers and/ or Estate Managers
  • Building and maintaining internal relationships

SCHEME ADMIN FUNCTIONS         

  • Assist where required with submitting Scheme payroll documentation and input
  • Updating of correct recipient of payroll reports

SCHEME ADMIN FUNCTIONS         

  • Assist in confirmation of levy clearance figures under PS instruction
  • Updating Insurance Schedules for Schemes in portfolio as changes occur, including policy renewals
  • Advising on Insurance claims in cooperation with Insurance Team and under PS instruction
  • Assist in completion of annual audits in cooperation with PS and T&A Team
  • Assist where required with Scheme take-ons/ handovers and terminations

UTILITIES

  • Liaise with councils under PS instruction
  • Advise on external utility specialists where appropriate

BUILDING CONTRACTORS AND MAINTENANCE

  • Obtain quotations under PS and Scheme Executive instruction
  • Escalate individual owner issues as appropriate and in a timely manner
  • Follow up on quotations/ outstanding matters as appropriate and in a timely manner
  • Assist with payments under PS instruction

 GENERAL

  • Any task reasonably assigned by management
  • Responding to all queries with RCP
  • Recordkeeping
  • STAMP involvement as assigned

 

MINIMUM QUALIFICATION

Must have completed a minimum of matric and related Paddock ’s courses. A tertiary qualification relating to accounting / financial management/ property management will be advantageous.

Must have excellent command of business English as written and spoken language.

Previous experience in the Sectional Title and HOA industry will be advantageous. Must have proven passion for industry an building relationships with clients, colleagues and stakeholders.

WORKING CONDITIONS

Will be based in an open plan office or working remotely and/ or on site as per company specifications and schedules and will be faced by constant interruptions from different role-players.

There are a number of deadlines and expected turnaround times within this role, which may cause stress. Applicant is expected to work accurately with a minimum tolerance for data entry errors.

Will be required to deal with a wide variety of personalities on various matters.
